The meeting was opened with Mac Todd reading “Let’s Keep Christmas” by Peter Marshall followed by a brief discussion.
The Secretary’s report prepared by Al Bunyard was accepted.
Rector’s Reports: Lisa Adams, #128, submitted a list of 29 names and noted a need for musicians. There was a discussion on the need for team members to be active in their church. The list, with minor suggestions, was accepted. Lisa was provided with a copy of a CD containing the talks, and there was a brief discussion on having the Servant Community set up the agape.
George Sage, #129, though absent from the meeting, provided a list of 25 names that was considered and approved.
The Treasurer’s Report was presented for October and November 2005 and was accepted.
The Secretariat overnight of January 13-14, 2006 was discussed and the cost was stated at $60.00 per individual. The overnight will start the evening of Friday the 13th and end at noon on Saturday the 14th so that members will be able to attend the Day of Deeper Understanding (previously the Forth Day Workshop) that will be held from 1:00 to 4:30PM.
Spiritual Director’s Report: Fr. Bob Kerner discussed the possibility of revising the current spiritual directors and a discussion of non-Episcopalians possible roles in Cursillo. Currently non-Episcopalians can attend a weekend, but must be active in an Episcopal church to be on team or a member of the Secretariat. Non-Episcopalians would also need clergy endorsement as required on the application. This is understood to mean Episcopal clergy endorsement. The NECS will be contacted concerning specific guidelines.
Lay Director’s Report: Two names were considered in relation to new members of the Secretariat. The Power Point presentation to be used at this year’s Council was reviewed and edits made. There was a review and discussion of future Secretariat meeting dates and for weekends out to the year 2008. Fees charged for weekends were also discussed with concern that fees for the weekends are not currently covering all costs.
Communications: Deb Love stated that the next news letter will go out about the end of January 2006. There may even be folding on the evening of the overnight. Articles for the newsletter need to be received by the end of December to be included.
Fourth Day: Barbara Morgan discussed the workshops to be held in Colonial Heights. Some work shops mentioned were “So you want to be a Rector...” “Babe Chick 101” and “Music.”
Al Bunyard reported that all reservations for next year are underway and will be ready and paid for.
Nancy O’Donnell will be researching Ultrea activity via e-mail to see which ones are working, working best, and which could use benefit for the information gathered for improvement.
It was noted that we will be needing a new Shed Lady (Shed Man, Shed Person, Shed¼) so the Secretariat was asked to consider, and make recommendations, on possible replacements.

The meeting opened with a review of the questions (1) When did you first know that you were a child of God? And (2) why did you attend Cursillo?
This above was followed by a discussion of the composition of the Cursillo weekend (time, free time, etc.)
The Pastoral Plan was discussed as a working document.
There was a discussion of five things the Secretariat needs to work on this year:
It was discussed that at the February meeting a new Lay Director, or, alternatively, alter the by-laws to move the month of selection.
The February 25, 2006 meeting will be held at St. Georges Newport News.

The meeting opened with devotion from Barbara Morgan, followed by a discussion.
Secretary’s Report accepted.
Rectors Reports:
Lisa Adams. Have six candidates to date and team is formed and working on their talks. Michele McBride is new to Chanco and only wants to work with rectors in making arrangements/reservations. Facilities may be limited and could have an impact on the weekend.
George: (As reported by Mac Todd) One team meeting and one team member has dropped off.
Mac Todd began a discussion on what is required to serve on team (e.g. active in Cursillo) and what communication will occurs between Cursillo and those submitting applications for team. This was prompted by a letter from Rev. Michael Delk of Hickory Neck concerning an application of a new parishioner who was not selected for the past two teams. Currently there is no policy regarding communication between Rectors and team applicants.
It was resolved that it will be the responsibility of the Rector to refer back to the Secretariat Weekend Coordinator to contact all team applicants not selected letting them know why they were not able to be on a particular team. If there is an issue with an applicant’s qualifications (i.e. not grouping) the applicant will be notified of the issue, or refer the issue to the Secretariat for resolution.
Grace: Presented her core team and is setting up an appointment with the Spiritual Directors. Presented a potential team list which included couples and encouraged that couples be allowed to serve on the team. She will be receiving a contract from Chanco which needs to come back to the Secretariat to be signed on behalf of Cursillo.
Grace’s list was approved as revised.
The Weekend Coordinator will include in invitation letters for co-ed weekends a strong emphasis that the weekend is for both men and women but is not a couple’s weekend, that they will not be at the same tables, etc. together and are strongly encouraged not to room together.
Collette: Working with Grace on team and have established Spiritual Directors for the weekend. She has also received contract from Chanco and will bring to the Secretariat for signature.
Treasures Report submitted. Treasurer will pay $500.00 towards the NEC pledge and, depending on income, will pay another $500.00 in the fall. The NEC conference made a profit and the Secretariat will be receiving some funding as a result. The amount is estimated at a little over $3,000.00.
Lay Directors Report: Minimum weekend requirements must be defined due to changing procedures for reserving space for weekends. Proposed Flourney Hall, Dining Hall (Drill Hall half), Conference C or Conference D, Manor House, Infirmary, New Infirmary, Approximately 50 beds total (this includes Manor House and New Infirmary), use of computer and copier in the new infirmary. Include access to refrigerator section outside of the kitchen.
Need list of names for ballot for the position of Lay Director or amend the by-laws to change month of election. The list was compiled during the meeting by reviewing eligible members of the Secretariat. Votes will be taken via e-mail with Mac Todd being the coordinator. The vote will be finalized at the March meeting.
Next month meeting will be held in conjunction with Diocese of Virginia at Trinity Church Highland Springs, March 25, 2006.
Episcopal Cursillo is for the Episcopal Church. If someone wants to sponsor someone who is not Episcopalian through their church, it is a possibility they could attend, but it is a license requirement that the movement be reserved for Episcopalians. If we allow non-Episcopalians attend as a matter, Cursillo in the Diocese of Southern Virginia would loose the ability to put on Cursillo weekends. This needs to be communicated to the Cursillo community and discussed with the National Cursillo by the Secretariat in the future. Until then, Cursillo in the Diocese of Southern Virginia does not have the authority to vary from this agreement.
Deb Love has received 15 requests to receive newsletter by e-mail. Another newsletter going out three weeks prior to Women’s weekend. Deb also presented a new Cursillo letterhead.
Maps to Chanco and Surry Center need to be on the web site as well as list of times when people are needed for clean-up (specific times and locations).
Nancy Comfort provided team and candidate list for 128. There are three candidates to date.

The meeting was opened with a foot washing service taken from the Book of Occasional Services and led by Bunny Neff.
There was no Secretary’s report.
Julia Madden #126: Julia used a “sorting hat” to establish team positions. She felt that having the Eucharist immediately after the Sacraments Talk was very effective and meaningful to both candidates and team. She recommended Deb Love and Julie Herbert as potential rectors. Finally, she stressed giving candidates time to work on their answers to the “closing questions” and maintaining overall flexibility. Her weekend ran over 1 ½ hours behind at times, but was within ½ hour at closing-basically on time.
Al Bean #127: No report
Lisa Adams #128: The upcoming Women’s Weekend has 20 candidates, with potential for 21. They will not be using a contract bus, but will try moving the candidates to Surry via personal vans. Everything progressing well, but may lose a team member due to complications from surgery (Phyllis Knudsen).
George Sage #129: Currently 7 candidates, with no glitches so far. Rev Al Hooker is taking Fr. Cleon Ross’ place as Cleon recovers from heart bypass surgery.
Grace Van Derveer #130: Having trouble getting men for the team—Grace is looking for help. Currently 12 women and 6 men signed up for team. Torsten Peterson is the head musician.
Colette Robertson #131: Currently 15 team members. Colette says the cards are “ancient.” Secretariat agrees, but attempts to develop a data base are in their infancy. First team meeting will be July 22.
Discussion of lay director for 2007 continued, following the February and March meeting and various e-mails. Final decision, agreed upon by all present, was that Deb Love will be lay director in 2007. Al Bunyard is potential director for 2008, but the final decision will reside with the Secretariat in 2007.
Bill Anspach passed out spread sheets with end-of-month reports for February and March. March report shows $12.644.57 balance. He has not been billed by Chanco for the upcoming weekends. The last Men’s Weekend broke even. Bill mentioned a problem with bouncing checks from both candidates and team members. Finally, he will make the Diocesan Contribution to NECS shortly.

Cost of Weekends: Discussion on costs of weekends and possible raising of weekend fees will wait until after the Spring Weekends. The Green Letter will mention the increasing cost of weekends.
Spring 2007 rectors: Mac needs names for nomination by the June Secretariat Meeting
Future meetings: No meeting in May. June meeting is the 10th at Saint David’s, Richmond, followed by the Day of Deeper Understanding (Fourth Day) at St Michael’s Bon Air.
Cooperation with Diocese of Virginia: Mac is continuing in efforts to formalize cooperation between Cursillo in the two dioceses, but has not heard from the Bishop of Virginia.
Still looking for someone to attend the Leaders’ Workshop in Pittsburgh. Unfortunately, this is during Weekend #129.
Nancy Comfort brought up changing the location of the routing address on applications. She recommends placement at the end of Part 4. Ames will coordinate this with Ned May.

Bunny is looking for help at closing. Will put out a request on the SOVA net through David Downs. She mentioned that David has done an outstanding as the new “head shed” and the shed is better organized than ever. Jim Neff and Al Bunyard will ensure there is parting in front of the Surry Center for the vans from Team #128.

The joint session was held at the request of the Diocese of Virginia in an effort to gain insights into the operations of Cursillo in the Diocese of Southern Virginia. Cursillo in the Diocese of Virginia has stagnated to the point that weekends are held infrequently with little interest in other, on-going, Cursillo functions. The diocese of Virginia intends to make efforts to improve Cursillo, and would like to enlist, where practicable, the support of the Diocese of Southern Virginia. Among the items discussed that could have an impact on Cursillo would be:
(I believe the discussion stopped just short of having member of the Diocese of Southern Virginia serving on Diocese of Virginia teams, but my notes are unclear.)
The only formal business related to the Secretariat of the Diocese of Southern Virginia was held briefly after the meeting. During this session is was decided that Deb Love would be the Lay Director for the 2007 term, and Al Bunyard would serve as Lay Director for the 2008 term.
